Your report should identify the type of \u00a0healthcare setting, identify services offered, identify users of health \u00a0information and their needs, discuss how user needs are met, describe \u00a0health information functions performed at this organization, and \u00a0describe at least one information system used in this facility along \u00a0with the system&#8217;s functions and role in healthcare delivery. Application \u00a0of knowledge attained in this class will support your ability to \u00a0critically analyze your findings, to assess the strengths and weaknesses \u00a0of this organization&#8217;s health information technologies, and provide \u00a0recommendations for improvement as may be appropriate to the situation. \u00a0This project is valued at 240 points (24% of your grade).<\/p>\n<p>Examples of the types of healthcare organization that may be \u00a0appropriate subjects for this type of project include hospitals, \u00a0hospital systems, integrated healthcare systems, multispecialty medical \u00a0clinics, physician practice offices, ambulatory surgical centers, mental \u00a0health service providers, public health clinics, rehabilitation or \u00a0long-term care facilities, insurance companies, pharmacies, Urgent care \u00a0clinics, etc. The organization chosen must be complex enough to offer \u00a0sufficient challenge and must be realistic in terms of information \u00a0available at a level needed to complete the project in the required time \u00a0frame. For example, an assisted living facility that does not make use \u00a0of information systems would not be appropriate for this project.<\/p>\n<p><em>There is no need to, nor would it be appropriate to access any \u00a0confidential patient information in order to complete the project.<\/em><\/p>\n<p>The best learning experience is obtained when you go through a \u00a0dynamic communication process with people in the chosen healthcare \u00a0organization. It is preferred that you interview someone who works in \u00a0health information management (HIM director, coder, someone in the \u00a0registration area, someone working with health information systems, \u00a0release of information, billing, etc.); however, interviews with \u00a0physicians, nurses, or other clinicians or administrative assistants \u00a0will work, too. Yes, it may take several attempts and different modes of \u00a0communications to secure an interview but you need to be persistent, \u00a0proactive, and adaptive in order to achieve your goal: the interview. If \u00a0your communication attempts and\/or completion of the interview fails, \u00a0you may consider using your own experience in using health information \u00a0systems, or research AHIMA resources, articles, and case studies \u00a0available online or library resources. In such cases, reach out to the \u00a0professor for more guidance.<\/p>\n<p>For successful completion of the project, please follow the \u00a0guidelines below and comply with the criteria listed in the grading \u00a0rubric for deliverables, organization, grammar, and resourcefulness.<\/p>\n<ol>\n<li><strong>Describe and analyze the chosen healthcare facility. <\/strong>\n<ul>\n<li>Location &#8211; where is the organization located.<\/li>\n<li>Type of setting &#8211; acute care hospital, skilled nursing facility, physicians office, surgical center, insurance company, etc.<\/li>\n<li>Size of the facility &#8211; research the number of beds if applicable or other information on the size.<\/li>\n<li>Ownership &#8211; private, government owned, proprietary, voluntary, etc.<\/li>\n<li>Population served<\/li>\n<li>Services offered<\/li>\n<li>Any accreditation or certification facts (You can find these from \u00a0the organization&#8217;s website, by searching accrediting organizations, such \u00a0as The Joint Commission at <a rel=\"nofollow noopener\" target=\"_blank\" href=\"https:\/\/www.jointcommission.org\/\">https:\/\/www.jointcommission.org\/\u00a0(Links to an external site.)Links to an external site.<\/a> , <a rel=\"nofollow noopener\" target=\"_blank\" href=\"https:\/\/www.qualitycheck.org\/\">https:\/\/www.qualitycheck.org\/\u00a0(Links to an external site.)Links to an external site.<\/a> or DNV GL Healthcare at <a rel=\"nofollow noopener\" target=\"_blank\" href=\"http:\/\/dnvglhealthcare.com\/hospitals\">http:\/\/dnvglhealthcare.com\/hospitals\u00a0(Links to an external site.)Links to an external site.<\/a> or by asking questions during the interview). <br \/>\u00a0<\/li>\n<li><em><strong>Work on this section after completing Week 2 content and \u00a0reviewing Chapter 2 &#8211; Draft due on Week 4, Final Project due on Week 7.<\/strong><\/em>\n<p>\u00a0<\/p>\n<\/li>\n<\/ul>\n<\/li>\n<li><strong>Describe users of the health information and health information management functions at this organization.<\/strong>\n<ul>\n<li>Internal users, such as physicians, nurses, administrators, coders, support services, therapists, pharmacists, etc.)<br \/>\u00a0<\/li>\n<li>External users depending on the type of the facility, such as \u00a0accrediting agencies, payors, state department of health, CMS, and \u00a0others as applicable.<\/li>\n<li>Patients &#8211; do they access health information through a patient portal.<\/li>\n<li>Explain whether this facility has paper medical records only, electronic only, or both\/hybrid.<\/li>\n<li>Describe how users access these records (in whatever format).<\/li>\n<li>Describe health information functions performed at this organization \u00a0such as patient registration, master patient index, quality checks, \u00a0record filing, scanning, retrieval coding, billing, record storage, \u00a0release of information, dictation, claims processing, health information \u00a0transmission, registries, data abstraction, auditing, data transfer, \u00a0patient education on using the patient portal, etc. (Note that not all \u00a0of these functions may apply depending on the type of organization. You \u00a0need to figure out as much as you can which ones apply and clarify that \u00a0in your writing.)<br \/>\u00a0<\/li>\n<li>Identify any health information functions that may be outsourced and \u00a0performed by another company or vendor. If possible, obtain the name of \u00a0that company.<br \/>\u00a0<\/li>\n<li>Based on what you learned (through your readings, research, and the \u00a0interview), share your interest in the health information functions &#8211; \u00a0which ones seems more appealing to you at this time; why; what would you \u00a0need to do to work in such function; and any other comments.<\/li>\n<li><em><strong>Work on this section after completing Week 3 content and \u00a0reviewing Chapters 1 and 3 &#8211; Draft due on Week 4, Final Project due on \u00a0Week 7.<\/strong><\/em><\/li>\n<\/ul>\n<\/li>\n<li><strong>Describe information technology or information systems used in the facility. <\/strong>\n<ul>\n<li>Identify the name of the system and the vendor (e.g., Chart Locator \u00a0software by 3M, Sunrise software by Eclipsys, etc.). If you have chosen \u00a0to describe a technology, identify its name, such as Picture Archiving \u00a0and Communication Technology (PACS). <br \/>\u00a0<\/li>\n<li>Describe the system as explained by the interviewer or other sources \u00a0of information. Consider the following questions or prompts in your \u00a0description:\n<ul>\n<li>What is the purpose or function; what does the system do? For \u00a0example: registration, billing, coding, computerized physician order \u00a0entry [CPOE], nursing notes, picture archiving communication system \u00a0[PACS], medication administration, e-prescribing, claims processing, \u00a0finance system, etc.)<br \/>\u00a0<\/li>\n<li>What type of data is entered in it; where does the data come from \u00a0(manual entry, transfer from another system, etc.); what does the system \u00a0do with that data (store only?; allows editing?, allows updates?; \u00a0enable transmission to another organization?)<\/li>\n<li>Does the system generate any reports; does it have any analytical tools? If so, how is it used in decision-making?<\/li>\n<li>Is this system considered part of the electronic health record \u00a0(EHR)? If so, based on your knowledge, comment on whether the system \u00a0would be considered a source, core clinical &#8220;EHR&#8221;, supporting \u00a0infrastructure, or connectivity system.<\/li>\n<li>Does the system connect to or interface with other systems? If so, \u00a0which ones? What does that connection or interface do? Why is it needed?<br \/>\u00a0<\/li>\n<li>Is the system user friendly (easy to use)? Is the screen layout efficient?<br \/>\u00a0<\/li>\n<li>Is the system secure? Does the system have built-in tools to assure \u00a0data completeness and accuracy? Does the system go down often?<br \/>\u00a0<\/li>\n<li>Do vendors support the maintenance and updates of the system?<\/li>\n<li>What do users do if they have a problem or a glitch? Who helps them resolve it?<\/li>\n<li>Classify the system (to the best of your ability) based on the \u00a0description you are given (e.g., clinical, administrative, decision \u00a0support, transaction-processing, MIS, EIS, etc.) and what you have \u00a0learned from Sayles, chapters 14 and 15.<\/li>\n<\/ul>\n<\/li>\n<li>Describe strengths (e.g., ask about benefits of using this system; \u00a0has it made a difference in the way care is delivered and decisions are \u00a0made?).<\/li>\n<li>Describe weaknesses (e.g., functions that the system does not currently perform and you would like it to perform).<\/li>\n<li>Ask the interviewer on whether he\/she has been involved during the \u00a0systems development life cycle (SDLC). If so, try to learn about their \u00a0input or impressions from that involvement. It could have been something \u00a0related to planning, implementation, training, conversion, \u00a0participation in a demo from a vendor who designed the system, etc.<br \/>\u00a0<\/li>\n<li>Try to find out if the organization is part of a health information \u00a0exchange (HIE). Also, try to find out if the organization is engaged in a \u00a0recent AHIMA initiative, called information governance.
